Patron records, Modify User

Quick Facts

  • The Modify User wizard can be used to make all needed changes to patron accounts.
  • Photo ID is required to change the legal name on the account, but other changes do not require ID verification. 
  • When updating an address, be sure to also update county and profile name, if necessary. 
  • Do not offer personal information to the patron when making updates. They should tell you the correct information.
  • Password updates must be done online or in person. If a patron needs an accomodation, call the Contact Center at 503-988-5123.
  • Extended info can be viewed in the Display User wizard.
  • Updates to home library, need to be done separately in Symphony and My MCL.  There can be multiple preferred libraries in My MCL. If one-click holds is turned on in My MCL, hold pickup can only be changed in account settings.

Procedure

To update the patron record:

  1. Select the Modify User wizard. 
  2. Scan the library card barcode or use the User Search helper to locate the patron record. If the patron no longer has a card, but the account is still in Symphony, see Replacement cards before proceeding.
  3. See below for commonly-updated information. 
  4. Update the record. See Entering new patron records for details on inputting addresses and other fields.
  5. When making address changes, remember to update the Profile Name and County fields, if necessary.
  6. Verify notification preference, suggesting email notification and/or text message alerts, and make any necessary changes. See Notices for more details.
  7. Review input, such as phone number format and a ".com" in an email address.
  8. When finished updating the record, click the Save button.

Here are the commonly-updated types of information you can update in each tab: 

Basic Info

  • Name the patron goes by (First name, Middle name, Last name, & Suffix
  • Library (i.e. Home library). Updates to your home library, need to be done separately in Symphony and My MCL.  There can be multiple preferred libraries in My MCL. If one-click holds is turned on in My MCL, hold pickup can only be changed in account settings.
  • Profile name

Policy

The Library requests that patrons notify us of changes to their personal or contact information, such as name, email address, telephone number or address.

In cases of name change, valid photo identification bearing the new name must be presented at the time the record is revised. If the patron does not yet have identification with the new name, additional ALT_NAMES fields may be entered into the account in the Extended Info tab above the existing legal name, 

Revisions such as a change of address do not require identification and may be accepted in person, over the telephone or online by the patron or another person. See Confidentiality of library records — staff procedures.

Password updates must be done online or in person.

Patrons may update their contact information and home library themselves via the online update form.

Rationale

In order to determine the patron profile and contact patrons about holds, overdue materials or other issues in a timely manner, including collection agency activity, the library must have current address and contact information.

Application

If the patron's information changes, staff will update the record as needed.  If the card has been lost or stolen see Replacement cards before proceeding.
