Picture clippings

Quick Facts

  • Central Library has a picture clipping file.
  • It contains collected images that are used as visual references for artists and researchers.
  • Picture clippings circulate in special cataloged envelopes that are checked out to patrons. 

Procedure

  • Check-out: write the number of items circulated and subject on the envelope.
  • Check-in: count the number of items in the envelope and compare it to the number written on the outside.
  • Lost items:
    • A charge of $10.00 is assessed if the envelope and/or contents are not returned.
    • These charges are rung in the register as Symphony fees.
  • Worn out or damaged envelopes -- may be replaced by one of three methods:
    1. Contact Tech Services to replace the barcode with a new envelope and barcode.
    2. If it is still in good condition, you may cut the barcode off the old envelope and tape it to the new envelope.
    3. If you need to create new, additional envelopes, print the bib screen information of the bib record you wish to attach the new envelopes to. Prepare the envelopes with barcodes and attach the matching eye readable strips from the barcodes to the bib record print out. Send this print out to Technical Services - with a note to add them to the catalog. Technical Services will add the new barcodes to the catalog under the designated bib number. Do not use the envelopes until the barcodes have been entered.

Policy

Circulation:

  • Picture clippings circulate for a period of three weeks
  • Can be renewed
  • Must be returned in the original envelope
  • A replacement fee is added to the patron's account 49 days after the due date
  • The value of the contents should not exceed $10 whenever possible

Central has specific envelopes for picture clippings and has a limit of 50 picture clippings per envelope.

In order to provide visual references for artists and researchers, picture clippings are maintained under subject headings which can be found in the Picture file headings document. These circulate in specially marked envelopes.
