Volunteer Coordinator Handbook

Volunteer Coordinator Handbook (google document)

The Volunteer Coordinator Handbook is a comprehensive guide for all of your Volunteer Coordinator related questions. The handbook should be able to answer most of your questions.

Better Impact

Better Impact is the Volunteer Management System that use to manage library volunteer engagement activity. Volunteer Coordinators use Better Impact to view volunteer records (contact information, participation, time tracking), schedule volunteer shifts, email and text volunteers, review volunteer applications, and more!
Volunteers use Better Impact to log their volunteer time, sign up for volunteer opportunities, view their volunteer record, update their volunteer profile, take required volunteer trainings, print service reports, etc.

Better Impact Guide for Volunteer Coordinators - The guide has step-by-step instructions and screen caps for things like finding a volunteer, approving/editing hours, sending emails/texts, and more.

Better Impact Office Hours - Book a one-on-one appointment with Volunteer Services staff if you have a specific question or would like additional support. We're here for you!

Volunteer Services will keep this page updated with information and training resources as they are developed. Please let us know if there's anything you're looking for.

Documenting things

Volunteer injury

  • Printable Incident Form - Use this county form (RSK-2) if a volunteer is involved in an incident or accident that does not require medical treatment. Be sure to notify Volunteer Services.
  • Follow County Administrative Procedure RSK-1 if an on-duty volunteer sustains an occupational injury or illness that may require medical treatment. Staff should never drive a volunteer who becomes ill or injured at work to the hospital.  They should be transported by appropriate medical personnel.

Allowing caller ID when calling a volunteer

This has been copied from Multco Commons' General dialing instructions. Check there for the most up-to-date information.

We do not allow Caller ID to be sent over our regular outgoing lines due to the confidentiality of many issues in the county requiring public contact. Recently, there has been a large influx of outside agencies and residential customers that will not accept calls that do not send Caller ID. To remedy this, we have assigned several outgoing lines that will send Caller ID to the called party when used. In order to send Caller ID to an external number, use the following procedure.

  • Dial "9" and "555" to start your call.
  • Dial the rest of the number as you would normally dial it. If it is long distance, remember to dial the "1" as well. For example, 9-555-503-225-5555 (for a Local Number) or 9-555-1-503-555-1212 (for a Long Distance Number).
  • You will be prompted by stutter dial tone to enter your Authorization Code. (The authorization code must be entered for both local and long distance calls.)
  • Qwest will send "Multnomah County" as the Caller ID to the called party.

Note: If you get a fast busy tone, all lines are being used, and you must try again later.
