IMMS Quick Guide - Creating and building Exhibition Groups

Note: These workflows require special permissions in IMMS. If you will be creating and maintaining Exhibitions, the permissions will be assigned as part of your training.

 

Creating an Exhibition Group
  1. Open the IMMS Web Client and select the Exhibition Groups work center under the Exhibitions menu item.
  2. Click ‘New’ and give your Exhibition Group a name and a short description.
  3. Click ‘New’ next to the bottom table. This opens a dialog box.
  4. In the Item Collection field, select the following:
    1. <LDB> Lucky Day shared
    2. <LDB-J> Juvenile/YA Lucky Day shared 
      This will prevent Lucky Day items from showing up in the Exhibition Group. 

      If you want to prevent Fixed items from showing up in the Exhibition Group, select these as well:
    3. <Book-F> Book fixed
    4. <Book-J-F> Juvenile/YA book fixed
  5. Click OK to save the setting and close the dialog box.
  6. Click OK to save the Exhibition Group.
  7. The Exhibition Group will now be listed in the work center, and you can assign titles to it using any combination of the below methods.

 

Assigning items to an Exhibition Group

Method 1 - Assigning specific titles

  1. Open the IMMS Web Client and select the Titles work center.
  2. Search for the title you’d like to assign to an Exhibition Group and highlight it.
    Note: IMMS title searches do not recognize [a], [an], [the], etc. as stop words. If your title starts with one of those words, you must include the word in your search.
  3. Click ‘Exh. Group’ in the bottom right corner.
  4. Select your Exhibition Group, then click OK.
  5. Repeat Steps 2-4 until you’re done assigning titles, then click OK to save the list.

Method 2 - Assigning a list of item IDs

  1. In any spreadsheet application, create a list of item IDs for the titles that you want represented in an Exhibition Group.
  2. Format the list with the header ‘Item ID’ and then a list of Item IDs.
  3. Save/download the list to your computer as a .CSV file.
  4. Open the IMMS Web Client and select the Exhibition Groups work center.
  5. Select the Exhibition Group you want to add the items to.
  6. Click ‘Add File List’ on the right side of the screen.
  7. Select your CSV file of item IDs.
  8. IMMS will extract the associated Titles from your file and add them to the Bibliographic Records tab.
  9. Repeat the above steps until you’re done assigning titles, then click OK to save the list.
