Quick Facts
- A patron may request to have their library account deleted. If there are items checked out or a history of bills in the account, these must be resolved before you set the Profile Name to Delete.
- Accounts for deceased patrons should be cleared and set to Delete immediately.
- Deleting duplicate accounts:
- Do not delete duplicate Library Connect accounts. Send the user keys to the Contact Center and include which account the patron is using.
- Enter a comment if the account is a duplicate and another account should be used instead.
- If you need to have the duplicate account deleted immediately, call the Contact Center (503-988-5123 or contactcenter@multco.us) with the patron's name and/or library card number.
Procedure
To delete an account:
- Use the Check Out or Display User wizard to clear all bills, items checked out and holds.
- Use Modify User wizard to change the Profile Name to Delete.
- If the account is being deleted because it’s a duplicate, enter a Comment with the User ID for the active account. “Duplicate account. Please use 21168011111111 instead. MID/RA”
- Accounts with the Delete Profile Name will be automatically removed from Symphony each week.
- If you need to have the duplicate account deleted immediately, call the Contact Center at 503-988-5123 or email contactcenter@multco.us with the user key.
Policy
Patron accounts are deleted by a regular report. Reasons for deletion include:
- A patron is deceased. No proof of death is required.
- A patron has more than one account and there are no items or bills on one account. The library allows only one account per patron, except for Administrative, Library Connect, Library Outreach Services (LOS) or Educator (EDU) accounts.
- A patron insists that their account be deleted.
- Administrative cards that are no longer needed.
Rationale
Accounts may be deleted by patron request, if the patron is deceased, and to avoid patrons having multiple accounts.
Accounts of deceased patrons are deleted quickly to avoid sending overdue, hold and/or collection notices.
