Policy
This policy clarifies when libraries should loan headphones or give away earbuds at no cost; how libraries should ensure that headphones are returned; how patrons should be charged for lost or damaged headphones; and how new headphones should be purchased when necessary.
Loaning headphones
Libraries provide headphones to patrons using library Chromebooks. The laptop user agreement includes a checkbox to indicate that the patron has borrowed headphones, and indicates a $10 charge for lost or damaged headphones.
Libraries may provide headphones to patrons using desktop public computers, if the headphones attached to the computers are defective. Patrons should be verbally informed of the requirement to return the headphones to the service desk, and warned about the $10 loss/damage fee. Defective desktop headphones should be replaced or repaired as quickly as possible so that this type of loan is not often needed. Email IT to ask for replacement cords for the large gray headphones. They try to keep a supply on hand.
Free earbuds
Libraries will provide headphones (earbuds) for free to patrons using their own personal devices. These headphones (earbuds) come either with a mic or without one. Please distribute the appropriate type for the situation (only give the mic ones out if they need to speak). If your supply runs out, you can order more on the Library Supplies form in the miscellaneous section.
Patrons may not get more than one set of earbuds per day.
Disposing of damaged headphones
Headphones are e-waste, and should be disposed of appropriately by sending them to 503/4/LIB DESKTOP or 541/MAC/Supply Clerk to be recycled in a sustainable way.
Replacing desktop headphones
Headphones connected to public computers will be purchased by IT staff. They are charged to the Library IT cost center (803210). Contact the IT Helpdesk to report defective headphones.
Replacement headphones can be installed by library staff or IT staff.
Replacing loaner headphones
IT staff will identify vendor, make, and model for purchasing loaner headphones or Library purchasing staff can help facilitate a replacement order. Headphones will be charged to the Library IT cost center (803210).
